What is KBART Automation?
KBART Automation is the automated process whereby your library holdings are updated in your Discovery Service. Once set up with Sage, the updates would occur weekly.
Which Sage products are included in KBART Automation on Sage Journals?
KBART Automation is possible with all products and collections on Sage Journals, except for some individual Gold Open Access (OA) titles. We are actively working to ensure full coverage of our OA content. In the meantime, when setting up Sage Journals autoholdings we strongly recommend activating the separate GOLD Open Access collection to ensure comprehensive coverage of all Open Access content.
Why does Sage have two KBART Automation tokens?
The token from the Sage Journals admin area will automate the discovery of all our journals products in Sage Journals apart from some Gold Open Access journals. We have a second token available in Secure Center for Sage Learning Resources.
Which DSPs does Sage have KBART Automation for?
Sage currently has integrations with Ex Libris Alma and OCLC WorldCat. We do not currently have plans to integrate with Ex Libris SFX or EBSCO.
How do I implement KBART Automation?
You can implement KBART Automation for Sage Journals using a token specific to your institution in our Sage Journals admin area. For step-by-step instructions, please see How do I implement KBART Automation? (Sage Journals).

If your library doesn't use KBART Automation, please continue to use the standard configuration processes your DSP requires.
What if KBART automation isn't available for my DSP?
If Sage doesn't have KBART Automation compatibility with your DSP, please continue to use the standard configuration processes your DSP requires.
What happens when entitlements change with KBART automation?
If you have KBART Automation activated with OCLC WorldCat or Ex Libris Alma and your Sage entitlements change, they will update automatically in your discovery system on a weekly basis. If you do not have KBART Automation set up with either of these services, please update your collections following your DSP's standard process.
What happens to our KBART Automation if our library switches DSP?
You should revoke your KBART Automation in Sage Journals using the instructions below labelled 'How do I permanently delete my institution ID (token) from my Sage Journals admin account?'. If you move to a DSP compatible with Sage (OCLC WorldCat or Ex Libris Alma) you will be able to set it up again.
What if I need to make a change to my KBART automation?
You can make changes to your KBART Automation implementation in the admin area on Sage Journals.
Are Open Access titles included?
While most Gold Open Access (OA) titles are included in the Sage Journals KBART Automation files, some individual OA titles may be missing. We are actively working to ensure full coverage of our OA content.
In the meantime, we strongly recommend activating the separate GOLD Open Access collection to ensure comprehensive coverage of all Open Access content. Please note subscription and free-to-read content are available in full.
How frequently will the feed update?
Following the one-time KBART automation setup, holdings data for your institution will be automatically transferred to your discovery service knowledge base via API every Friday.
Please note that depending on the day you set up the feed, your DSP may initially display an error message until the automation feed runs for the first time. If this happens, please wait until the following week to see the updated data.
What should I do if I see an error message on my DSP after setup?
After setting up the feed, your DSP may initially display an error message until the automation feed runs for the first time. This is because holdings data for your institution is transferred automatically every Friday. If this happens, please wait until the following week to see the updated data.
Why does my holdings file include more titles than my institution has a subscription for?
Following KBART recommended practice, Sage Journals KBART Automation files include Open Access and free to read content in addition to subscriptions.
How are journal title changes handled in Sage Journals autoholdings files?
When a journal changes its title, each version is listed as a separate row in the autoholdings file, with its own ISSN or eISSN as applicable, and clearly defined coverage dates. This ensures accurate and consistent tracking of access rights and metadata over time.
To help trace title history:
- Each version of the journal has the same URL
- Each row has the previous title’s ISSN populated in the “ preceding_publication_title_id ” field.
Can you explain the different terminology used by publishers and DSPs?
There is no consistency in what different publishers and discovery service providers name the unique key, which is required to enable integration. Examples of terminology commonly used include:
- Institution ID
- Key
- Token ID
- API key
- API token
- Institution token ID

How do I permanently delete my institution ID (token) from my Sage Journals admin account?
- Log in to Sage Journals. The page can also be found by navigating to "Holdings automation" under the "Institutional profile" section of the profile page menu:
- Under "Active tokens", select “Revoke” alongside the token you wish to delete, and then again in the dialogue box:
