What is KBART Automation?

KBART Automation is the automated process whereby your library holdings are updated in your Discovery Service. Once set up with Sage, the updates would occur weekly.


Why does Sage have two KBART Automation tokens?

Sage products are hosted on two different platforms with two different admin areas, Sage Journals and Secure Center. The token from Sage Journals admin will automate the discovery of our journals products apart from the exceptions noted below. The token from Secure Center will automate all Sage Learning Resources products with the exceptions noted below.  


Which Sage products are included in KBART Automation on Sage Journals?

KBART Automation is possible with all products and collections on Sage Journals except Gold Open Access journals.


Which Sage products are included in KBART Automation in Secure Center?

KBART Automation is possible with Sage Research Methods, CQ Press Books, Sage Business*, Sage Skills*, Sage Video*, and Sage Reference & Books*. 


*These products were known formerly as Sage Knowledge.


KBART automation is not set up with CQ Researcher, Sage Data, Sage Campus, other CQ Press products (outside of CQ Press Books), and Catalyst.


Is CQ Researcher included in KBART Automation?

CQ Researcher cannot be set up for KBART Automation at this time.


Which DSPs does Sage have KBART Automation for?

Sage currently has integrations with Ex Libris Alma and OCLC WorldCat. We do not currently have plans to integrate with Ex Libris SFX or EBSCO.


How do I implement KBART Automation?

You can implement KBART Automation for Sage Journals and Secure Center by using a token specific to your institution in our Sage Journals/Secure Center admin area. For step-by-step instructions, please see How do I implement KBART Automation? (Sage Journals and Sage Learning Resources).


What if our library doesn't use KBART Automation?

If your library doesn't use KBART Automation, please continue to use the standard configuration processes your DSP requires.


What if KBART automation isn't available for my DSP?

If Sage doesn't have KBART Automation compatibility with your DSP, please continue to use the standard configuration processes your DSP requires.


What happens when entitlements change with KBART automation?

If you have KBART Automation activated with OCLC WorldCat or Ex Libris Alma and your Sage entitlements change, they will update automatically in your discovery system on a weekly basis. If you do not have KBART Automation set up with either of these services, please update your collections following your DSP's standard process.


Can you explain the different terminology used by publishers and DSPs?

There is no consistency in what different publishers and discovery service providers name the unique key, which is required to enable integration. Examples of terminology commonly used include:

  • Institution ID
  • Key
  • Token ID
  • API key
  • API token
  • Institution token ID


Examples of unique keys generated by our platforms include:

  • Secure Center: 12eed3d4-bfe5-67a8-91f2-34bf5678c912
  • Sage Journals: PGURLO5SMUC0BQIYN02OQ0MECW8NTO


What if I need to make a change to my KBART automation?

You can make changes to your KBART Automation implementation in the admin area on Sage Journals or Secure Center.


How frequently will the feed update? 

Following the one-time KBART automation setup, holdings data for your institution will be automatically transferred to your discovery service knowledge base via API on a weekly basis.


For Sage Learning Resources, how are titles handled that are shared between platforms?

In the case of OCLC automation, matching is based on title IDs not ISBNs. With Ex Libris Alma, matching is based on URLs. The dual-platform titles that have the same ISBN but a different URL will still be activated and will work for the customers who have just one platform entitlement or both. 


Are Open Access titles included? 

At present, Gold Open Access journals are not included in KBART Automation files. However, Sage offers a separate collection for Gold Open Access Journals. You can activate this collection on Discovery Service Providers’ knowledge bases, regardless of your entitlements.


What happens to our KBART Automation if our library switches DSP?

You should revoke your KBART Automation in Sage Journals using the instructions below labelled 'How do I permanently delete my institution ID (token) from my Sage Journals admin account?' or 'How do I permanently delete my token from Secure Center?'. If you move to a DSP compatible with Sage (OCLC WorldCat or Ex Libris Alma) you will be able to set it up again.


How do I permanently delete my institution ID (token) from my Sage Journals admin account?

  1. Log in to Sage Journals.
  2. Navigate to "Holdings automation" under the "Institutional profile" section of the profile page menu:
      
  3. Under "Active tokens", select “Revoke” alongside the token you wish to delete, and then again in the dialogue box:

  1. Log in to Secure Center
  2. Navigate to your "Account Detail" section and click on "Electronic Holdings Automation" in the right-hand side bar:
